Using DAM Capabilities in PromoMats
Asset Management is a more compliant way of storing and managing assets that our company paid for. It provides a safe space for us to store our ‘Components’ within our system for them to be easily manageable, searchable and re-usable. Components represent the building blocks of content; they can be photographs, animations, logos, data tables or graphs, or even full production packages. Combining many Components together is what forms a Material document.
Refer to your country’s preferred Asset Management Option to determine when and what you should upload as a Component. Component subtypes that are available in PromoMats include:

Based on your country’s Asset Management Option, License Files can also be uploaded into PromoMats and associated with their respective Components.
A license is a legal document providing our company with permission to use someone elses’ intellectual property. There are (3) License File subtypes:
- A License Agreement = document that confirms our company has permission to use an asset, specifying any restrictions for its use.
- Consent Form = document that indicates a person has granted consent for their image and/or voice to be used in composites or documents. Ex. Getty invoices, Photographer’s invoices, Model/talent agreements.
- AMDR License is missing from this list– please include w/appropriate definition
In addition, a Rights Record may also be created in PromoMats (based on your country’s process) by an Asset Librarian and applied to a Component. The Rights Record will indicate to other users whether the Component is available for reuse and what the conditions are.
Components (and License Files) can be uploaded to PromoMats by Agencies or Job Owners any time before the Material document reaches AFD status and is built into your country’s MLR review process.
